Digital certificates in Spain

The National Currency and Stamp Factory, or Fábrica Nacional de Monedas y Timbres – Real Casa de la Moneda (FNMT-RCM), is a public business entity in Spain that is attached to the Ministry of Finance. The National Currency and Stamp Factory is the direct translation but translates more comprehensibly as The Royal Mint.

Around ten years ago, the Fábrica Nacional de Monedas y Timbres started digitising many administrative tasks. The FNMT-RCM, through its CERES department (Spanish certification), issues these certificates for citizens and legal persons, especially for use before public administrations, the FNMT Certificate of Physical Person.

These improvements allow you to save time and not have to wait in so many queues at various offices. It also means less travelling, a crucial feature during lockdowns.

A digital certificate guarantees, technically and legally, the identity of the person online. It is a file, like an ID card, that can be downloaded onto web browsers. This allows the different departments to see it for you to complete your tasks.

TOP TIP: If your family and friends are ever likely to use or borrow your computer, download the digital certificate onto an external drive, like a hard drive or USB. This means someone else can use your device with their digital certificate without confusing the machine.

Digital certificates can be used by individuals, legal entities (meaning companies) and also non-profits. You cannot be self-employed and manage your business without a digital certificate. Procedures for both Social Security and the Tax Office (or Hacienda) require you to have one.

The certificates are valid for an individual for four years (can be up to five years in the two other forms). You will receive an email reminder but it’s also worth popping the date on the calendar in case it ends up in your junk folder.

You can deal with so very many things using the digital certificate, we can’t list them all but a few common reasons are:

  • Registration on the electoral roll and consultations.
  • The Digital Certificate allows an electronic signature on official documents and forms.
  • File and pay taxes. The payment of taxes such as the IRPF, and in the case of the self-employed the settlement of VAT.

  • Consult and pay fines in the DGT. Internet traffic fines can also be paid if you have the certificate.
  • Consumes and grant procedures. The processing of subsidies is streamlined by this method.
  • Complete population and housing census data.
  • Inscription in the municipal census.
  • Electronic signature of official documents and forms.
  • Get reports on Social Security. One of the documents that can be requested is (Vida Laboral) employment history. A document that shows where you’ve worked, for how long and your stamp contributions. Usually, to apply for retirement or benefits.
  • Manage some procedures in the Employment Office. Having to go to the unemployment office to stamp the unemployment card is one of the features you can avoid doing in person now with the certificate.
  • Manage income statements.
